Proposify is a winner in both those areas, and I believe most proposal tools will continue to advance with AI. This Proposify review is based off my experience using Proposify. What sets Proposify apart is its flexibility. It isn’t just for presentation focused proposals but also works well for structured, text-heavy MS Word type documents. I think it’s one of the easiest tools to use in the category of proposal automation, there is still a bit of a learning curve, especially if you’re new to proposal automation software plus the tool has a lot of features, but that’s normal. However, I believe once you used it a few times, it will be get easier.

What Proposify Does Well

1. Flexible Proposal Templates

If you need Word-style documents, visually polished presentation formats, or even legal contracts, you can easily use Proposify for all of them. You can customize templates with placeholders for client details and branding, making them reusable and efficient.

2. Easy-to-Use Content Library

Proposify’s Content Library makes it easy to reuse sections like pricing tables, case studies, and team bios. You can create three types of sections: Page Flow for long text, Static for fixed designs, and PDF Imports for finalized documents like brochures. However, PDFs can’t be edited in Proposify, and there’s no way to upload and edit Word documents, which could make it even better.

Even with these limits, the Content Library is simple to use and a great way to save time when creating proposals.

3. Proposal Automation

Proposify helps automate tasks like adding client information and tracking proposal statuses. At first, I wasn’t sure where to add variables (like {{client_name}}) or how they worked. Then I found it’s easier to start in the Clients section before creating a proposal. This way, the client details are added automatically, saving time and avoiding mistakes.

4. E-Signatures and Interactive Pricing

Proposify makes it easy to add e-signatures directly into proposals, helping you get approvals faster. I found it easier than other tools because the drag-and-drop feature is very user-friendly. The interactive pricing tables are another great feature—they let clients choose quantities or add extras, and the total updates automatically. This makes the process simple for clients and helps them make decisions faster.

5. Team Collaboration

Proposify makes working with your team easy. You can leave comments, assign tasks, and track what’s happening with each proposal. I found it simple to go to a specific client project and see everything in one place—whether the proposal was sent, messages between team members, or alerts like when a document was downloaded. All notifications were there, making it easy to stay organized and up to date.

6. Analytics and Insights

Proposify includes basic tracking features to help you understand how clients interact with your proposals. You can see when a proposal is opened, how long clients spend on each section, and what they click on. These insights are helpful for improving your proposals and planning better follow-ups. For now, these features are sufficient, but I can see Proposify enhancing this area in the future by adding more advanced analytics or AI-driven insights.

7. Automation Features

Proposify makes managing proposals much easier with its automation features. The content library is a huge time-saver—you can store sections like case studies and pricing tables to quickly reuse them in future proposals, so you’re not starting from scratch every time. It also takes care of small but important tasks, like sending follow-up reminders and alerting your team when a client views a proposal. These features help you stay organized and keep everything running smoothly

8. Easy to Use

Proposify’s features might feel a bit overwhelming at first, especially if you’re new to proposal tools. However, once you explore the platform and use it a few times, it becomes intuitive and easy to work with. The design is user-friendly, and the tools—like the content library, e-signatures, and analytics—quickly make the proposal process smoother and more efficient. What Could Be Better

  • Speed and Responsiveness: Proposify is easy to use, but it can slow down when working on big or complex proposals.
  • Formatting Flexibility: The design tools work well for most users, but they aren’t as flexible as advanced design software. This might be noticeable if you need very specific layouts or designs.
  • Advanced Automation: Proposify handles basic automation well, but it could use more advanced options, like automated approval processes for large teams, to better meet the needs of bigger companies.
  • No AI Writing Assistant: Proposify doesn’t include an AI writing assistant to help create or improve content directly in the tool. This could be a drawback if you’re looking for AI-powered content creation.
  • Pricing for Small Teams: The Basic plan only allows you to send a few documents per month. I think if it was unlimited, it would be more attractive to smaller teams.
  • Advanced Analytics and Reporting: Proposify gives useful data, like when clients open a proposal or how much time they spend on sections. However, it doesn’t offer advanced reports, like tracking trends over time, team performance, or comparing templates. More detailed insights could help bigger businesses improve their strategies.
