Steps to Use Templates:

  • Navigate to the Templates section in your dashboard.

  • Click + Content to edit template to customize fields like text, images, and placeholders. You can also edit existing fields and section on the document itself.

  • Below is a pre-built template I used from Pandadoc. I customized it so it doesn’t even look like Pandadoc’s templates after customization. I even changed the image on the homepage and text style.

  • Below is an example of an inner page. You’ll notice that some words or phrases have highlighted borders. These highlight variable fields, which are placeholders for client-specific information such as names, addresses, or project details. By using variables, you can quickly generate customized templates where client information is automatically populated, eliminating the need for manual searches or edits.

  • For example, instead of manually updating every instance of a client’s name throughout the document, you simply define the variable (e.g., {{Client.Company}}) once. When you create a new document from the template, updating the variable value automatically applies the change across the entire document, saving time and reducing errors. PandaDoc’s Content Library is a centralized space where you can store and manage reusable content, such as text blocks, images, and tables. By centralizing reusable materials, the Content Library streamlines Proposal and RFP automation, ensuring teams can quickly access and update the latest content without searching through scattered files or outdated materials.

How It Works:

  • Organize content into folders (e.g., product descriptions, case studies, legal clauses).
  • While editing, access the Content Library via the right sidebar or you can add it from the plus sign after you add a content block. You can also add images from your Image library.

  • Drag and drop items directly into your document, complete with headings, subheadings, and variables that update automatically for each client.

Example: In the example above, the Executive Summary was added from the Content Library. Variables like {{Client_Name}} automatically updated, saving time and maintaining professionalism.

  • Click the +Invite button at the top of the document to invite recipients to sign. They don’t need a PandaDoc account to sign.

  • Recipient Management and Permissions (appears on the side of your document as you are working on it) enables you to add recipients, set signing order, require approvals, and customize permissions such as forwarding documents, suggesting or resolving edits, downloading, and receiving a PDF copy via email upon completion.
